Hiring & Initial Appointments
- Obtain a signed offer letter including the faculty member's position and title(s), compensation, benefits, employment expectations, and resources.
- For faculty who will be going up for tenure upon hire, a pre-offer letter and temporary appointment may be necessary.
- The Faculty Handbook (Chapter 4) outlines the policies and practices at Duke concerning faculty compensation, base salary determination for term of academic appointment, joint funding of academic appointments, schedule of payment, and special compensation in addition to base salary (including extraordinary pay and supplementary pay). Faculty appointments outside the Medical Center may be for nine, ten, or eleven months, or they may be short term. The rules concerning summer supplements vary by type of base appointment.

- At times it may be necessary to put an incoming faculty member into the Duke payroll system prior to the start of their regular rank appointment, say, in order to grant Principle Investigator status allowing the transfer of grants to Duke in a timely fashion. In such cases, either the Department Chair or the Dean may offer a non-regular rank appointment beginning when needed and ending on the day preceding the start of the regular rank appointment.
- Once a written offer is signed, the hiring process in Duke@Work (SAP) can begin. New faculty hires are initiated using the New Faculty Member form in dFac.
- After a New Faculty Member form is initiated, incoming faculty have the "pre-hire" status until their start date. Pre-hires are eligible to access several Duke systems in order to facilitate the onboarding process. Pre-hires may also be eligible for a sponsored account.
- Duke Visa Services provides guidance on issues related to the hiring of foreign nationals, as well as assistance in other visa-related services.
- Research Navigators can assist incoming faculty with any research-related tasks, including applying for PI status.
Appointment Term and Compensation
